Phase 5 - System Implementation

  1. Procedural Review

    Existing corporate policies and procedures are reviewed and evaluated. Any changes that need to be made to accommodate the new system are discussed and agreed upon.
     
  2. Loading of Test Data

    Master file information is entered into the new system. Temporary data entry can be hired to enter data from your printed master files into the new system. This helps prevent the conversion of bad or old data from the old to the new system.
     
  3. Initial Training

    Generally, a few key team members are selected to receive the initial training consisting of a system overview and discussion of processing options. These team members will then be able to log on to the new system and begin testing the software using data that is representative of your organization. These team members will make certain decisions regarding the processing options.
     
  4. Conference Room Pilot

    We now use the conference room pilot instead of traditional parallel processing because of time constraints and new technology. The pilot involves loading the database with actual data from the current system and having the key team members run the software for a period of time, testing the processes and evaluating the output. The team members will be able to compare certain outputs with your current system to make sure that the new software is operating correctly. Once the team members are confident that the new system is accurate, the cut over takes place.
     
  5. Cut Over

    The old system is removed and the new system is implemented throughout the company. To complete the process:
     
    • The database is loaded with actual data
    • All users are trained
    • Additional hardware is moved or installed
    • The old system is removed
